Access "Manage Policies"

On your left hand side, click on "Settings" / "Policies" to see your Organization Travel Policies.

*Note: Edit mode can only be accessible on Desktop browser, not on mobile.

Add Travel Policy Clauses

Flight Policy View

Hotel Policy View

Start adding clauses (via drag and drop) to define your organization's flight travel policy. To get started creating travel policies start with: 

1. Employees: Determine the levels of employees listed under the travel policy 

2. Guests: If your organization allows employees to book visitor travel trips, add this clause. 


Available Flight clauses: 

1. Zone: Specify your employees' zones that they can travel to (Domestic / Gulf countries / International) 

2. Price: Specify your employees’ price allowance (single/round trips separately)

3. Max Cap: Specify the dynamic price cap; ex. 20% more expensive than the cheapest flight)

4. Cabin Class: Specify your employees’ cabin class allowance (First / Business / Premium Economy/ Economy)

5. Total Days: Specify your employees’ maximum trip number of days

6. Flight Duration: Specify your employees’ minimum/maximum flight duration in hours 

7. Minimum Notice: Specify your employees’ minimum time needed to book in advance

8. Reason for Travel: Specify the reasons allowed to be selected for the flight request

9. Maximum Dependents: Specify the maximum number of dependents allowed on the flight 

10. Refund Policy: Specify the selection of refundable flights only

11. Minimum Stops: Specify the minimum stops allowed on a flight, also an option to enforce direct flights only

12. Allowed Airlines: Manage your employees’ airlines allowance

Available Hotel clauses: 

1. Zone: Specify your employees' zones that they can travel to (Domestic / Gulf countries / International) 

2. Room Price/Night: Specify your employees’ room price/night allowance

3. Max Cap: Specify the dynamic price cap; ex. 20% more expensive than the cheapest hotel)

4. Star Rating: Specify your employees’ star rating allowance

5. Total Nights: Specify your employees’ maximum trip number of nights

6. Minimum Notice: Specify your employees’ minimum time needed to book in advance

7. Reason for Travel: Specify the reasons allowed to be selected for the hotel request

8. Maximum Dependents: Specify the maximum number of dependents allowed on the flight

9. Refund Policy: Specify the selection of Free Cancellation hotels options only

Finally, finish defining the travel policy by linking it to the "In policy" box.

Rearrange Layout

You can rearrange the layout after adding the clauses to have a better view of the policy by clicking on the "Rearrange Layout" button. This feature will rearrange the clauses in a way that is convenient for you to understand them.

Reset Travel Policy

You can reset the travel policy by pressing the "Reset" button. The reset procedure will delete all your pre-defined travel policies, which will result in all requests submitted by employees being considered as In policy!

Preview Travel Policy

You can preview the impact and result of defining the travel policy on the employees Job levels of your organization by clicking on the "Preview" button.

Publish Travel Policy

After you have defined the travel policy clauses for your organization, click on the "Publish" button to update the travel policies on the platform.
